About the role
As the Project and Administration Officer within the Cultural Venues business unit, you will play a key role in providing efficient, effective, and confidential administrative and project support to assist in delivering business development objectives.  You will support event delivery and staff capacity-building programs, including workshops, meetings, and presentations.  Additionally, you will contribute to planning workshops, maintain project schedules, and ensure regular tracking, monitoring, and reporting on project progress.  A key aspect of this role is liaising with clientele, external consultants, contractors, and internal Council departments to facilitate seamless project delivery and achieve the best outcomes for the Unit. 


What your day will look like

  • Provide confidential administrative support to the Team Leader and the Unit, including managing correspondence, organising documentation, and ensuring smooth day-to-day operations
  • Support event delivery and staff capacity-building programs, such as workshops, meetings, and presentations, ensuring effective coordination and execution
  • Participate in planning workshops, develop and maintain comprehensive project schedules, and conduct regular reviews to update and track project progress
  • Attend project meetings to document key actions, prepare responses for stakeholders, and develop high-quality documents tailored to diverse audiences
  • Manage contract administration tasks, including tender specifications, processing purchase orders and invoices, and risk management practices.


What you will bring
     

  • Tertiary qualifications in relevant discipline such as administration, with no relevant experience or lesser formal qualification with relevant skills and experience.
  • Skills and experience in business operations for delivery of services including understanding of administrative systems and processes for managing finances.
  • Experience developing guidelines and procedures for staff, training and development expertise is desirable.
  • Demonstrated competency with IT systems for service delivery such as client databases, scheduling and finance systems.
  • A continuous improvement mindset with a positive, proactive, and flexible attitude
